The ANU Researcher Development team develops and implements strategies to support Higher Degree Research (HDR) candidates and early career researchers across ANU and reports to the Dean HDR. The Administration Officer will have responsibility for supporting the day-to-day administrative and educational work of the unit.
The Administration Officer will be able to support the extensive stakeholder engagement activities of the Director and senior members of the team and ensure that all the information needed to underpin the work of the unit is collected and coordinated appropriately. Under general direction of the Director of Researcher Development, the Administrative Assistant will: • Act as the first point of contact for the ANU Researcher Development team for internal and external inquiries and working closely with HDR Candidates. This includes the monitoring of phone and email, the use of initiative and judgement to collect and disseminate information, and the ability to provide appropriate and nuanced responses and referral of matters as they arise. • Organise and coordinate meetings, events and workshops, including managing venues, attendees, equipment, catering arrangements, agendas and minutes, event sign up and post event data analytics via Qualtrics. Support the Director of Researcher Development with diary management • Manage data and documents from all the Research Development Team activities accurately and consistently, following up with participants and stakeholders where relevant with the aim of helping the team use the data for strategic purposes • Support the Researcher Development Team in preparing papers, briefings, presentations, and a range of communications for key stakeholders including HDR candidates and supervisors, and preparation of the monthly ‘HDR Update’ newsletter • Support the management and consistent maintenance of relevant areas of the ANU Website and Intranet pages with regular updates and changes • Perform other duties as directed, consistent with the classification level of the position and in line with the principle of multi-skilling. • Comply with all ANU policies and procedures, and in particular those relating to work health and safety and equal opportunity
SELECTION CRITERIA: 1. Demonstrated relevant experience in an administrative role in a university or public service environment, or a combination of relevant experience and training. Previous experience in working in a small researchoriented team highly regarded. 2. Demonstrated customer service skills with excellent interpersonal and communication skills, both written and oral, including the ability to consult, negotiate and liaise effectively with a diverse range of stakeholders, using discretion when dealing with sensitive data and interacting with others 3. Highly proficient using common enterprise software including Office 365 - Microsoft Word, Outlook, Powerpoint and Excel. Familiarity with web content management systems and survey software will be highly regarded. 4. Demonstrated organisational skills including the ability to prioritise work and manage competing priorities while maintaining a high level of attention to detail. 5. A demonstrated understanding of equal opportunity principles and policies and a commitment to their application in a University context.
