The Administration Support Officer works under the general direction of the Manager, Rural Clinical School and Senior Finance Coordinator. The Administration Support Officer undertakes a broad range of administrative and finance tasks relating to day-to-day activities. They will act as a first point of contact for administrative and finance services and provide support to a variety of stakeholders including staff, students and visitors, working in partnership with team members and with colleagues in ANU central services. The position will maintain a close working relationship with students, academic and professional staffing within the School, College and the wider University. Under general direction, the Administration Support Officer will: • Provide high level administrative support, liaising with staff, students and visitors to ensure the efficient and effective delivery of the rural program • Assist in managing the day-to-day business and financial administration of the RCS, including ensuring timely processing of invoices in the ANU financial system .Further, monitoring income and expenditure in RCS accounts and liaising with College and University level teams on administrative and financial matters. • General administration duties including organizing meetings and preparing minutes, drafting various reports and general correspondence as requested • Assist with the preparation of financial reports and other adhoc reports that may be need from time to time to ensure the RCS funding streams are compliant with all funding and reporting requirements. • Liaise with colleagues across campus, developing a broad base of administration skills, and actively participate in the continuous process improvement of student related activities and implementation of local and University-wide projects. • Support a service improvement culture, working collaboratively to consult and gather information, identify solutions and undertake tasks to achieve identified objectives. • Contribute to the efficient and effective operation of the Rural Clinical School through building professional networks, and engaging in team and functional meetings and training, and professional development. • Comply with all ANU policies and procedures and School governance and regulatory compliance, in particular those relating to work health and safety, equal opportunity, code of conduct and sustainable work practices. • Undertake other duties as required from time to time consistent with the classification level of the position.
SELECTION CRITERIA: • Relevant qualification and demonstrated experience in an administrative support and quality customer service role or an equivalent combination of education/training and relevant experience. • Demonstrated high level customer service and effective communication skills with the ability to consult and liaise effectively with a wide range of stakeholders in a culturally diverse environment, whilst maintaining a high level of professionalism and confidentiality. • Demonstrated ability to prioritise own workload and to work effectively both independently and collaboratively, meeting competing deadlines and delivering high quality outcomes. • Demonstrated written communication skills with analytical and numerical skills that will enable accurate and effective communication, documents and databases. Experience using a large enterprise system including the ability to generate complex reports and demonstrated skills using the Microsoft Office suite. • A demonstrated understanding of equal opportunity principles and policies and a commitment to their application in a University context.
Classification: ANU Officer 5 Salary package: $71,878 - $78,411 p.a. plus 17% superannuation Term: Full time, Fixed Term (until 31/12/2021) Part time hours may be considered
