The Business Support Trainee receives on the job training in the area of business and administration to the Planning Group. The role provides administration support and be able to backfill for other business support and administrative support position within the Group. The position collaborates with colleagues across the planning group, provide excellent customer service and support various business functions across the team including meetings and events, project management, information management, correspondence, financial management and procurement. About the Division The Office of the Deputy Secretary provides high level advice, services and support for the Deputy Secretary, Planning Executive Group and Office of the Minister for Planning, and has a coordinating and advisory role across the Planning Group encompassing business strategy, and operational business services and support functions. The Office functions comprise coordination of cross-portfolio policy, Cabinet and legislative processes, audits and performance reporting, briefings and correspondence. The Office leads the group’s business planning processes, input into the Department’s Corporate Plan and Annual Report. The Office leads budget development, co-ordinates the ERSC bid process for Planning Group, provides financial reporting and analysis, and accounts payable and receivable functions. The Office leads workforce planning, professional development, capability and culture initiatives, sponsorships and events across the Planning Group. The Office provides operational and business support functions and drives continuous improvement.
To be successful in this role you will be well organised, able to work well in a team and self motivated. You will have good attention to detail and be able to juggle your work effectively, knowing how to prioritise urgent tasks over less urgent. The key responsibilities of the role include: • Provide accurate and timely support, resolve local operational issues, and provide improvements to business operations and business procedures. • Support effective operation of the Division’s workplaces by maintaining standard office equipment, managing stationery, booking travel, accommodation and catering, supporting staff location moves and managing records associated with these. • Provide high level administrative and project support to the team including customer service, information management, correspondence, events, financial management and procurement. • Coordinate the distribution and tracking of project updates, ministerial briefings and correspondence. • Provide administrative support within the branch on policies, programs, processes, systems, stakeholder relationships. • Support the branch’s effectiveness through knowledge development and sharing and contribute to a positive and collaborative culture in the workplace. • Work flexibly and collaboratively across the business to deliver business unit, group and DELWP priorities and initiatives as required. • To practice cultural safety by creating environments, relationships and systems free from racism and discrimination so that people can feel safe, valued and able to participate.
