The primary purpose of this position is to provide executive and administration support to the organisations Executive Directors. The position will also provide support and assistance to the Senior Executive Officer to the CEO, the CEO, Board of Directors and the Senior Leadership Team as required. Key Responsibilities • Proactive support on all aspects of the role through effective forward planning and preparation • Ensure all reporting requirements are being met by proactively planning and communicating these to the Executive Directors and CEO • Provide diary management, arranging meetings, booking venues for meetings and coordination of travel and accommodation for Executive Directors • Coordinate all correspondence in and out of the ED’s offices and prepare responses to agreed correspondence • Schedule, arrange, prepare documentation and provide secretarial support for Executive Team meetings, Senior Leadership Team meetings, Board meetings and other requested meetings • Provide administrative support to VACCHO Board, Membership and Senior Leadership Team • Complete and take minutes in the absence of the Senior Executive Officer to the CEO • Assist in the management of special projects and events • Foster a team-based approach and promote and maintain co-operative working relationships between unit staff and all other VACCHO employees. • Exercise all Delegations according to VACCHOs Delegations policies and procedures. • Regular attendance and participation in unit, staff and other meetings. • Undertake other duties which are appropriate to the level of the positi
Essential Selection Criteria • Identifies as Aboriginal and/or Torres Strait Islander. • Demonstrated understanding and commitment to Victorian Aboriginal culture and the concept and practice of Aboriginal community control. • Demonstrated ability to work with Aboriginal organisations, communities and individuals in culturally appropriate ways. • Experience as a Personal/Executive Assistant at Senior Management level include diary management, minute taking, document preparation, organizing travel and accommodation, meetings. • High level forward planning and project management skills • High level organisational and time management skills including the ability to plan, juggle priorities and working to deadlines. • Excellent people skills including demonstrate capacity to manage a complex array of stakeholders with sensitively and diplomacy. • Capacity to represent the CEOs office, model behaviors in keeping with VACCHOs values and to maintain discretion and confidentiality. • A demonstrated capacity to support the governance needs of a not for profit organization and to provide excellent support to the Board of Directors. • Well-developed written communication skills including an ability to prepare quality documents, including general correspondence, reports and meeting minutes. • Self-motivated, and demonstrated ability to work independently with minimal supervision as well as in a team to achieve outcomes. • A flexible approach, with strong organisational and planning skills, including the ability to effectively manage time and workload, prioritise tasks, and meet changing circumstances, competing demands, interruptions and deadlines. • In depth knowledge of and capacity to efficiently use ICT and organisational systems. • Proficiency in Microsoft Office including Outlook, Excel, Word and Powerpoint.
Base salary range $90 to $100K plus Super
