The Program Support Officer plays a critical role in the Firesticks team by coordinating, supporting and managing the successful development, delivery, evaluation and reporting of Firesticks projects. CORE DUTIES & RESPONSIBILITIES: The Program Support Officer is responsible for supporting and managing the successful development, delivery, evaluation and reporting of Firesticks projects Project development: • Support operational staff to plan and develop scope, deliverables, required resources, work plan, budget, and timing for new initiatives • Support fundraising team with tender and grant application process including design, submission and review • Draft ICIP agreements with project partners Project Delivery: • Provide diverse support to project and administration teams including establishment of management tools and processes that support delivery of project outcomes • Track and monitor progress of project milestones and deadlines and follow up with all stakeholders as required • Maintain calendar of upcoming workshops and events • Support operational teams in coordinating and running of events and workshops • Support team to identify risks and opportunities across multiple programs and projects within the organisation Project monitoring, evaluation and reporting: • Coordinate the monitoring and reporting of projects and programs to ensure the timely and accurate provision of programs and reports to project partners, funders and management team • Liaising with the communications team to increase awareness of programs • Coordinate system and process improvements, consistent application of user procedures and the integrity and maintenance of program data and record management systems to ensure best practice and continuous improvement.
This is a targeted position and preference will be given to applicants of Aboriginal and/or Torres Strait Islander heritage. The best fit for this role is somebody who has: • Demonstrated commitment to the mission and values of Firesticks, with a track record of working with communities and individuals to create positive impact • Two or more years of experience in project management or coordination and implementation of tasks requiring strong organisational skills and long-term planning. • High level attention to detail, initiative and the ability to work autonomously and as part of a small team • Experience working to tight deadlines and managing multiple streams of work. • Adept at data entry, maintaining data quality, and data reporting and communication. • Strong problem-solving skills in identify problems and applying a framework to generate options for solutions with evidence or rationale. • Exceptional people skills and ability to build genuine rapport with internal and external stakeholders. • Digital savviness, with proficiency in using the Microsoft Office suite • Ability or capacity to learn how to utilise IT systems related to contact and relationship management, resource and document management, and automated communications (such as Keela, Google Drive, Mailchimp, Eventbrite, monday.com etc) • Desire to learn and develop new skills as required • Understanding of and ability to utilise project management tools and processes (such as Gantt charts, risk identification and mitigation plans). • Proven experience delivering projects within an identified budget. • Event management skills. • Excellent writing, analytical, and research skills with an ability to seek, interpret, and synthesise data. • Demonstrated ability to engage and work with Aboriginal communities on sensitive environmental and cultural issues • Listens to, understands and recognises the needs of others to support productive working relationships • Demonstrates professionalism and integrity and displays personal drive through action • Listens, understands and adapts to audience and is an influential communicator • Ability to work as a team member within the ethos and values of Firesticks • Understanding of corporate social responsibility principles • Ability to work well under pressure and meet tight deadlines • Sound proficiency with Microsoft office (Excel, Word, PowerPoint) • The ability to travel and work flexibly • A track record of working with communities and individuals to create positive impact • Ability to work autonomously
This is a full-time, Fixed Term contract to 30 June 2024 (5 days/per week), ideally commencing ASAP. To successfully fulfil their job requirements, the successful candidate will be sometimes required to travel within Australia and work outside normal work hours. Base Salary is $95,900 per annum plus superannuation and allowances.
